Business Need
Earlier the competition was manual process where each club need to fill a book and the book need to be manually sent to each sports association for
approval and once each sports association approves then will be sent to Ministry of Sports Affairs and Ministry has to manually calculate the points
each club earned for each competition and prepare reports manually for overall winner for all competition.
HM Youth Cup online system was conceptualized and developed to streamline and automate the whole process, make it easy to manage the competition,
reduce the time and prevent mistakes.
Solution
The system developed automated the complete process. Clubs, Associations and MOSA were the user roles in the system.
Each association will enter the completion and select the club who participated and also select the first 3 positions for each competitions.
All the clubs who was selected by the association will then get notification and will be asked to approve the result entered,
once entered notification is sent to MOSA and the points are calculated automatically. The points will be displayed in the club dashboard of each club
and overall points will be displayed in admin dashboard. Similarly, more around 100 competitions results are submitted in many categories
by different associations.
This is the biggest competition in Oman having complete online process as all 44 clubs in Oman and all sports association will be using the system Online.
The complete process of the competition has been made fully automated to input with multiple approval workflows, reminders, alerts etc.
which made the management of the whole process very easy and in very few steps.
The process used to take months to complete and required lot of calculations in excels to create details reports for calculation points for all competitions
for all clubs which was manually done by MOSA admin. The system is now implemented and one season has been successfully conducted where all clubs
and association in Oman participated and the results were calculated automatically. MOSA admin gets all detailed report automatically without
needing to fill or verify any data.
