Overview

Youth Creations system is an automated system to manage, organize, invigilate and select winner for youth competitions all over Oman which will cover 54 clubs in all regions where thousands of participants will participate in many competitions whole over Oman. The competition will start with club level and then winners will be selected for regional level and regional winners will go to final national level competition where the final winner will be selected.

Business Need

Earlier the competition management was a fully manual process where it was a tedious task to get registration of thousands of participants as the participants have to register under the clubs in their region, the participant will have to visit the club and club has to manually verify their age as each competition is in 3 age group. Clubs have to then conduct the competition and manually enter the marks for each participant and then Ministry has to manually collect the data from all clubs in all regions in Oman and then calculate the marks manually and select winners and same process they have to repeat for regional and national competition. This process was taking lot of time and required lot of manual work so Client wanted to have an online system to fully automate and streamline the complete process involved in competition to manage and track competitions, participants clubs and results.

As per our Client Requirement, a web application was developed with modules to manage competition at different levels, manage clubs and manage competition results.

As per our Client Requirement, a web application was developed with modules to manage competition at different levels, manage clubs and manage competition results.
All Mala'a security requirements was applied in the platform. This includes all fixes of the findings from the penetration tests and vulnerability assessment done by Mala'a InfoSec team before going live.
Full Source code was also handed over to Mala'a, also the design diagram like system architecture/deployment diagram/test cases summary and other documents was created and was part of handover.

  • Participants can register online under their respective Clubs for selected competitions and age group
  • System was integrated with ROP database to automatically validate the date of birth to confirm user selected the correct age group.
  • Clubs have account in system where they can see the list of all registration and can approve or reject the application with workflows.
  • Facility for evaluators to assign marks for each participant through tabs
  • System will automatically select winner who received highest marks
  • Ministry will real time get reports of winners all clubs in each region and the winners will be automatically selected for regional level for all competitions and age group without any manual work.
  • Same process is done for Regional level for all competition and age group and form final national level and final winner is selected for each competition and age group.
  • Ministry of Sports (MOSA) administrators have full control of the system

Result

The system was implemented in 2018 and MOSA seamlessly conducted the entire competition successfully for 2 seasons now. There entire process was done online with zero manual work, each season 5000 participants, 54 clubs, 11 regions and MOSA administrators used the system real time to manage and run the systems.
MOSA gets all reports automatically now without need to do any calculation and paper work and its submitted to Minister. System also archives previous seasons data and MOSA is able to retrieve data for all seasons.
